Health systems, insurance navigators, pharmacies, clinics, and community organizations are invited to host a free table at HAPA’s community health fair. Families come for free screenings, HIV testing, and pharmacist medication reviews — and stay to learn what resources are available to them.

What you get
A free table in front of the people you serve
Your table
HAPA can provide one 6-foot table and two chairs, or you are welcome to bring your own. Tell us which you prefer when you register. Bring your own tablecloth, banner, and materials.
Real foot traffic
Guests move between screening stations, the resource expo, and the family zone all day. Many are uninsured, underinsured, seniors, or new to the area — the people most looking for your services.
Recognition
Every confirmed vendor is listed in the day-of program and thanked from the stage. Sponsors receive added visibility — see the upgrade options below.
Vendor guidelines
Education and connection, not sales
This is a free community health event. Every vendor agrees to these guidelines when they register.
Welcome at your table
- Displays, demonstrations, and brochures
- Free samples and health-related giveaways
- Appointment booking and consultations
- Sign-up and interest forms (lead capture)
- Orders taken for later, off-site fulfillment
Not permitted
- Cash, card, or any on-site payment
- Dispensing prescription medications or medical treatment
- Alcohol, tobacco, vaping, or cannabis products
- MLM recruitment as a primary activity
Also good to know
- Proof of insurance is required if you bring equipment or food samples
- HAPA may photograph the event and use vendor logos in fair promotion
- HAPA may remove any vendor that does not follow these guidelines

How it works
Four simple steps
1. Register
Complete the short vendor form by October 10. It takes about five minutes.
2. HAPA reviews
We review each request to keep the mix right for our community and reply within a few business days.
3. Confirmation
Approved vendors receive a confirmation email with the vendor agreement, and sponsorship details if you asked for them.
4. Final details
One week before the fair you receive your table location, load-in and parking instructions, and a day-of contact.
